REPORTS TO: Associate Director of Advancement

Job Classification: Non-exempt

40hr/ Full Time, Year-round with increase of hours during events. This position is in-person on our Riverview School Campus.

Working within the department of Advancement, the Special Events Associate is responsible for the planning and execution of a variety of events ranging in scope and scale. This person will collaborate with the Advancement team and various other departments in the school to ensure that all events align with the school’s strategic objectives, as it relates to fundraising and stewardship of parents, students, and alumni. Events range from small single day campus events to Riverview’s Annual Village of Dreams Gala, a major fundraising event for the school. This position is a 5 day (40hr) full-time position. Weekend and evening work required during events.

Responsibilities:

  • Work with the Associate Director of Advancement to ensure that the strategic objectives of the school are met, and a consistent tone is reflected in all efforts.

  • Help to create and maintain an annual events Calendar and assess additional event opportunities as they are presented.

  • Organize, update and maintain event files throughout the year.

  • Conduct periodic analysis of events and recommend changes to ensure alignment with strategic objectives.

  • Support departmental needs including event logistics, timelines, budgets, communication with venues, vendors, staff and the negotiation of contracts.

  • Fully utilize technology to automate essential elements of planning, tracking and production.

  • Development of forward-facing communications promoting events.

  • Creation of collateral, including invitations and programs.

  • Recruit and manage volunteers to deepen community engagement.

  • All other duties as assigned.

Specific Duties

  • Work in collaboration with the office of Advancement to plan and execute all facets of Riverview’s annual fundraising gala and expand opportunities for revenue growth.

  • Manage volunteer Gala committee.

  • Coordinate and manage logistics for parent weekends, including Opening Weekend, Fall Family Weekend, Transition Weekend and Alumni Weekend.

  • Help to support Family Association efforts to further strengthen relationships with families.

  • Coordinate with other departments to execute additional school-wide events including but not limited to: Cultural Diversity Day, Staff Appreciation Events, Regional Parent Receptions and Board Receptions.

  • Work with the Advancement team to shape periodic cultivation events for parents.

     

Skills Required

  • Demonstrated strategic and tactical experience in event planning, logistics, execution, and volunteer engagement.

  • Creativity, flexibility, and the ability to manage multiple priorities and deadlines while maintaining strong attention to detail.

  • Ability to work independently and collaboratively with volunteers, faculty, staff, and vendors.

  • Self-motivated, able to identify opportunities for improvement within existing structures.

  • Highly organized and the ability to present plans clearly and efficiently.

  • Strong oral, written and technology skills.

  • Strong office skills: organization, time management/scheduling, computer literacy, effective communication, interpersonal, problem solving, ability to multi task.

  • Experience with development and fundraising software preferred.

  • 2-3 years event experience. Fundraising event experience preferred.

  • Bachelor’s degree preferred.

  • Ability to lift up to 30lbs

Other Requirements:

  • Suitable background check required (CORI, SORI, DCF and Fingerprinting)

  • Ability to obtain CPR and First Aid certification.
