REPORTS TO:

Associate Director of Advancement

Main Function:

Within the department of Advancement, this position will implement processes for efficient workflow in the Advancement Office. The primary function of this position will be development gift processing and data management. This person will communicate regularly with key offices at Riverview, most importantly the Business Office and Head of School. This position requires frequent interactions with parents and alumni to help cultivate strong relationships and engagement with the school.

4 Manadatory weekends a year are require reflective of the School Calendar events (Opening Weekend (September), Fall Family Weekend (October), Transition Weekend (March), Graduation Weekend (June).

Essential Job Functions:

  • Conduct data entry of student, family and alumni records in the database including address updates and annual appeals coding.

  • Produce call sheets, appeals and gift reports for Annual Appeal

  • Process all gifts in a timely manner, including consistent recording of gifts in the database.

  • Produce and send donor acknowledgment letters within 5 business days of receipt.

  • Maintain backup information for Annual Fund, Endowment, Stocks and Matching Gifts

  • Reconcile receipts quarterly with the Business Office.

  • Produce Annual Fund and Endowment Pledge Reminder letters as necessary.

  • Produce weekly gift reports (to the Business Office/Accounts Receivables) and mailing lists (both emails and physical addresses) as needed from the database.

  • Remain current on trends in the field and make recommendations for updates and enhancements to database to ensure consistency with best practices.

  • Manage materials & supplies for office.

  • Ability to work independently and as part of a team.

  • Other duties as assigned.

Additional Responsibilities include:

  • Advancement Office Support (Opening Weekend, Fall Family Weekend, Transition Weekend, Gala, Summer Program Opening Weekend).) 

  • Majority of event support is for annual gala (entry of gifts and auction items, sponsorships, meals and tables, payments, and packaging)

  • Engaging and networking with parents and donors

Job Classification: Non-exempt

0.6 PTE – 24 hours / Year round with increase of hours during busier times of year (Nov/Dec & May/June).  This position is in-person on our Riverview School Campus.

Candidate Skills Required:

  • Strong database proficiency, with ability to analyze and problem-solve data management and communications systems issues.

  • Strong interpersonal skills with emphasis on verbal and written communications

  • Ability to interact professionally and effectively with a wide variety of people and develop relationships with parents, alumni and donors for successful cultivation and engagement of volunteer and philanthropic support.

  • Proficiency in Microsoft Office (with strength in Excel)

  • Proficiency in donor databases: Database Software (Veracross) & Greater Giving (or similar programs)

  • An ideal candidate for this position will be detail oriented, exhibit an ability to multi-task several projects at once, be able to work both autonomously and within a team environment, take initiative and be self-motivated.

  • Demonstrate a high level of organization and accuracy

  • Ability to meet all stipulated deadlines

  • Bachelor’s or Associates Degree Preferred
